1) All teams hereby agree to indemnify and hold harmless the West Chester Rotary Club (including its Officers, Directors, Members, Volunteers, District and Parent organizations) for all costs and expenses, including reasonable attorney fees incurred as a result of any legal action, in law or equity, brought against them as a result of our participation in the Chili Cook-Off held on October 8, 2023. We further waive all rights of recovery against the West Chester Rotary Club for loss or damage as a result of our participation and at our sole expense agree to name them additional insured on our commercial general liability policy on a primary and non-contributory basis.
2) Cash prizes for first place will be awarded for the four competitive divisions (Restaurant, Non-Profit Organization, Business, Hometown Cook and Volunteer Org/Rotary Club). Your chili will be judged within your category. The Public will also vote for their favorite Chili.
3) The Chili Cook-Off takes place on Gay Street in West Chester. This is a non-alcoholic event. The Chili Cook-Off is a rain or shine event and will not be rescheduled due to inclement weather.
4) We encourage teams to compete for “Best Decorated Booth” by picking a theme and decorating your crew and booth accordingly. Prizes for 1st, 2nd and 3rd Place will be awarded for “Best Decorated Booth”.
5) Contestants are responsible for providing the tent, tables and chairs: A tent is required by the Health Department. If you would like to rent a Rotary Tent Package which includes: (1) tent (2) tables and (2) chairs, you must apply on the attached team application and include payment with your team entry fee.
6) If you order a Rotary Tent Package, it will be delivered and assembled prior to your teams’ arrival.
7) If you have chosen to rent electricity, A 120 Volt outlet will be provided for SMALL appliances only. NO grills, fryers, or high wattage appliances can be used. NO CROCK POTS. Teams will not be permitted to COOK with electricity.
8) If your team has a License to Operate a Public Eating or Drinking Place (issued primarily to Restaurants/Caterers & some Non-Profits by the Chester County Health Department) you may bring pre-made chili to the Cook-Off. IMPORTANT- A copy of your License to Operate a Public Eating or Drinking Place must be attached to your team application and will be submitted to the Chester County Health Department by the Rotary Club of West Chester. 9) All teams that do not hold a License to Operate a Public Eating or Drinking Place will cook chili from scratch on the street. Before releasing your chili to the public you will bring a cup of it (judging cup provided) to the judging room.
10) Set-up starts at 7:30am and must be completed by 9:30am on October 8, 2023. No admittance after 9:30 am. All teams can begin cooking your chili as soon as your team is set up.
11) A mandatory Chefs’ meeting will be held at 9:30 am on the day of the Cook-Off, location to be determined. All teams MUST have at least one team member attend this meeting. JUDGING CUPS WILL BE HANDED OUT AT THE CHEFS’ MEETING. IN ORDER TO COMPETE FOR CHILI AWARDS YOU MUST HAVE AN OFFICIAL JUDGING CUP PROVIDED BY THE ROTARY CLUB OF WEST CHESTER.

5) If your sponsorship includes a Rotary Tent Package, it will be delivered and assembled prior to your arrival. The space is 10X10 and includes a 120 Volt outlet will be provided for SMALL appliances only. NO grills, fryers, or high wattage appliances can be used.

1) All vendors hereby agree to indemnify and hold harmless the West Chester Rotary Club (including its Officers, Directors, Members, Volunteers, District and Parent organizations) for all costs and expenses, including reasonable attorney fees incurred as a result of any legal action, in law or equity, brought against them as a result of our participation in the Chili Cook-Off held on October 8, 2023. We further waive all rights of recovery against the West Chester Rotary Club for loss or damage as a result of our participation and at our sole expense agree to name them additional insured on our commercial general liability policy on a primary and non-contributory basis.
2) Your vendor fee includes a 10x10 booth space, unless you’ve paid for a larger space. This means that you may not “creep” into space next to, in front of, or behind your designated 10x10 space. If you require additional room, please choose the 10x20 space option.

If you would like to rent a Rotary Tent Package which includes: (1) tent (2) tables and (2) chairs, you must apply on the attached vendor application and include payment with your vendor registration fee.
5) If you order a Rotary Tent Package, it will be delivered and assembled prior to your arrival.
6) Generators or vehicles that exhaust to the outside air are NOT permitted.
7) If you need to buy electricity, A 120 Volt outlet will be provided for SMALL appliances only. NO grills, fryers, or high wattage appliances can be used. If you need more, call Dan Wilson 484-753-3093.
8) All food vendors must be licensed by the Chester County Department of Health. Are you operating a mobile food cart? You will need a Mobile Eating or Drinking Establishment License. Please check the expiration date before sending to be sure it is current.
Are you operating/selling food out of a tent? You will need a Food Manager Certificate/License. Please check the expiration date before sending to be sure it is current.

10) The West Chester Rotary Club reserves the right to accept or deny vendor applications for the Cook-Off. All vendors are required to carry Commercial General Liability insurance in an amount not less than $1,000,000. Each vendor must name the “Rotary Club of West Chester, its officers, directors and volunteers” as additional insured. A certificate of insurance evidencing this wording must be provided to the vendor coordinator at least 10 days prior to the Cook-Off. Also be sure to submit the appropriate and valid Chester County food handlers license per the Chester County Health Department, if you will be making and serving food.
